Medical Reception Manager
Overview of the Role
This role would suit a superstar receptionist who’s looking for the next step in their career at a medical clinic in Brunswick East.
The Reception Manager oversees the day-to-day front desk operations to ensure a welcoming, efficient, and professional experience for every patient. This role leads and supports a vibrant team of receptionists, manages staffing and workflow, establishes clear reception protocols, and continuously improves processes to enhance front office services. The Reception Manager works closely with the Practice Manager and supports doctors, nurses and the broader clinic team as required.
Key Responsibilities
1) Team Leadership & People Management
Lead a fabulous, committed, and vibrant team of receptionists.
Recruit, onboard, train, and mentor reception staff.
Allocate tasks, prioritise workload, and ensure consistent service standards.
Manage staff performance including feedback, coaching, and development conversations.
Promote a positive team culture, accountability, and excellent communication.
Provides feedback to the team in real time (and by way of team reviews)
Is a strong autonomous member of the team.
2) Rostering, Breaks & Coverage across all INMC sites
Create and manage reception rosters, including break rosters across INMC sites.
Ensure adequate coverage at all times (phones, front desk, bookings, clinicians’ schedule demands).
Fill breaks and respond to unexpected absences with practical, patient-focused solutions.
Maintain timesheets and support payroll processes (accurate approvals, follow-ups, corrections).
3) Reception Operations & Patient Services
Oversee core reception functions including bookings, answering phones, patient arrivals, and general inquiries.
Ensure professional greetings and exceptional customer service across all patient interactions.
Handle complaint and issue resolution promptly and professionally, escalating where appropriate.
Maintain a tidy, welcoming, and well-organised reception area.
4) Administrative & Clinical Support
Request and manage medical records and relevant correspondence as required.
Liaise daily with the Practice Manager regarding priorities, staffing, service delivery, and clinic needs.
Assist the Practice Manager and doctors as required to support smooth clinic operations.
5) Medicare & Debtors Management
Liaise with Medicare as required (e.g., claims follow-up, troubleshooting, patient billing support, annotating failed medicare batches).
Manage the debtors list, ensure appropriate follow-up processes, and support accounts workflow.
6) Stock, Supplies & Accounts
Stock ordering, checking, and replenishing (including reception and clinic-facing supplies as directed).
Manage reception-managed accounts or supplies tracking.
7) Protocols, Compliance & Continuous Improvement
Create, maintain, and improve reception protocols (clear, usable, and consistently followed).
Explore and implement new efficiencies for the clinic: improve systems, reduce bottlenecks, and enhance patient experience.
Review and implement best practices to enhance front office services and overall operational efficiency.
Monitor budgets and control expenses as required and directed by the Practice Manager.
Essential Requirements
Proven experience in a front desk/reception role (healthcare preferred).
Prior experience managing people (required).
Strong rostering and workflow management capability.
Confidence with handling sensitive information discreetly and professionally.
Desirable
Experience in medical practice management or medical clinic operations.
Knowledge of Best Practice software.
